How we collect, use and protect your personal data, and exactly what this website does with cookies.

Who we are

Hermes London Dental Clinic, 205 Vauxhall Bridge Road, London SW1V 1ER, is the data controller for the personal data described in this policy. You can reach us on 020 7233 7660 or at appointments@hermeslondondentalclinic.com.

The information we collect

Through this website we only collect what you choose to send us, plus limited technical information about your visit.

  • Enquiry details: your name, phone number, email address and the message you send through our contact form, so that we can respond to you.
  • Booking details: if you book online you are taken to our booking provider, and any details you enter there are handled under their terms as well as ours.
  • Technical and usage data: pages visited, approximate location derived from your IP address, device and browser type. This is only collected if you accept analytics cookies.
  • Session recordings: a replay of how you moved through a page, covering clicks, scrolling and pointer movement. This is only collected if you separately turn on session recording, and never on our contact page. See the section below.

Clinical records

Your dental records are held separately from this website, in the practice's clinical systems, and are governed by our duties as a healthcare provider and by the General Dental Council's standards.

Why we can use your data

Under UK GDPR we rely on the following lawful bases:

  • Consent: for analytics cookies, for session recording, and for any marketing you have opted into. These are asked for separately, and you can withdraw any of them at any time.
  • Legitimate interests: responding to an enquiry you have sent us, and keeping the website secure and working.
  • Legal obligation and provision of healthcare: for clinical records and anything we are required to keep by law or by our regulator.

Cookies and analytics

Strictly necessary cookies keep the site working and remember your cookie choice. These cannot be switched off.

If you accept analytics cookies, we use Google Analytics (Google Ireland Limited) and PostHog to understand which pages are useful, how people move through the site, and where it can be improved. IP addresses are anonymised in Google Analytics, and we do not use this data to try to identify you personally.

No analytics script loads until you have accepted. If you reject or ignore the banner, nothing beyond the strictly necessary cookies runs.

We do not currently use any advertising or retargeting cookies.

Session recording

Session recording is a separate choice from analytics, and it is off unless you turn it on. Accepting analytics alone does not switch it on.

When it is on, PostHog records how you use a page: which pages you open, where you click, how far you scroll and how the pointer moves. It is used to find layouts and wording that confuse people, so we can fix them. It is not used to try to identify you.

  • We never record our contact page. Recording is switched off for that page whatever your cookie choices are, because that is where you would type something personal about your teeth.
  • Anything you type is hidden. Text you enter into a form is masked before the recording leaves your browser, so it is not readable in the replay.
  • Recordings are sent to PostHog's European servers and are covered by the same consent you can withdraw at any time.
  • Turning session recording off stops any further recording immediately.

Who we share it with

We do not sell your data. We share it only with providers who help us run the practice and this website, under contracts that require them to protect it:

  • Our website host and content platform.
  • Our online booking provider, when you choose to book online.
  • Google Analytics and PostHog, if you have accepted analytics cookies. Session recordings go to PostHog only, and only if you have turned session recording on.
  • Anyone we are legally required to share it with.

How long we keep it

Website enquiries are kept only as long as needed to deal with your query and any follow-up, then deleted. Analytics data and session recordings are held by the analytics tool that collected them and are deleted automatically at the end of the retention period set in our account there. You can ask us what that period currently is, and you can ask us to delete data relating to you at any time.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete it, where we are not required to keep it.
  • Object to, or ask us to restrict, how we use it.
  • Ask us to transfer it to another provider, where that applies.
  • Withdraw consent at any time, including for cookies.

Complaints about your data

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk.
